Measures to prevent COVID-19

1. Wash your hands with detergent for 20 s after each contact with potentially hazardous surfaces.
2. Remember to appear in public places, including at the exhibition, without a protective mask is strictly prohibited! Use gloves, or use antiseptic wipes!
3. At the entrance to the exhibition center you will be temperature screened. If your temperature is higher than 37.2, entry to the exhibition is prohibited!
4. If it is not possible to wash your hands, after contact with any potentially dangerous surfaces, use antiseptics that you can find at the exhibition!
5. In addition to antiseptics in public places provided by the Organizer, each company must have an individual antiseptic on the stand!
6. When coughing or sneezing, cover your nose and mouth, preferably not with your palms, but with the bend of your elbow! Do not touch your face with your hands!
7. Keep a social distance of 1.5 - 2 meters! Strictly follow the distance when entering the exhibition center, registration, visiting a restaurant or public places, leaving the exhibition! In places of potential crowds, do not stand for specially marked lines on the floor!
8. Avoid shaking hands!
9. If you feel unwell at the exhibition, contact a medical center (room 103) immediately!

1. General provisions

1.1. It is necessary to do the following for participation in the fair:

to submit the application for participation till March 26, 2021;
to coordinate the drawings of a booth with Organizer till March 26, 2021;
to conclude the contract on participation till March 26, 2021;
to make payment according to the contract;
to give the information in the official catalogue of the exhibition till to March 26, 2021.

1.2. Cost of participation includes:

registration fee;
cost of an exhibition space;
cost of the additional equipment and services/

1.3. The reservation of the exhibiting space is made after the registration fee and the sum in the amount of 50 % for the exhibition space have been made.

1.4. The payment is carried out:

For the foreign juridical persons – In EURO.

1.5. The organizers reserve the right to install fair stands according to the developed general layout by means of receipt payments, taking into account an exhibitor's wish, if it is possible.

1.6. It is strictly forbidden to place exhibits and advertising boards beyond the stand (aisles and other premises) without the Organizer's permission.
1.7. It is strictly forbidden to sublet the exhibition space without Organizers' permission.

Registration fee is obligatory for each participant and it constitutes ______ Euro, the sum includes:

information about Participant in the official catalogue of the exhibition on Organizer's website www.artexpo.ua (both in Ukrainian and English languages);
1 badges for every 3 sq. meters of the ordered space;
Security, cleaning the passes, public services etc.

The cost of equipped exhibition area 1 sq.m.:

The equipped exhibition space 9 sq.m. includes:

wall panels;
carpet on the stand;
inscription on a fascia board;
100 x 50 x 100 cm podium (or 3 wooden shelves 100 x 30 cm, 3m of framework made of stand components);
1 table plastic, 3 chairs;
illumination - 2 spotlights LED 30 Watt;
1 electric socket 220 V (1kVt);
1 waste bin.

In case of change an area the set of standard equipment changes not proportionally!

The cost of unequipped exhibition space for 1 sq.m.:

_______ Euro - for foreign firms on the premises of International Exhibition Centre;

Unequipped exhibition area - the floor space only, without constructions, electricity and carpet. Building the exclusive stands on unequipped area allowed to specialized companies which has the accreditation in the IEC only. Arrival on exclusive stand the Participant agrees with the building company and Organizer.

The stand with 2 open sides – the area cost increases on 5%
The stand with 3 open sides – the area cost increases on 10%
The stand with 4 open sides – the area cost increases on 15%
The double-deck stand – the area cost under the 2-storied construction increases on 25%

The cost of removing the exhibition equipment during the mounting time is 50% from the cost of respective equipment rent.

Non-stand Participation:

Non-stand Participation includes: information in the official exhibition catalog on the Organizer's website www.artexpo.ua; 2 Participant's badges; Participant's diploma; Opportunity to distribute printed advertising products during the exhibition work hours.

Costs includes VAT.

2. The Organizer’s Duties

2.1. To organize the promotional campaign of the fair.

2.2. To distribute by e-mail the information about exhibition working rules and hours among sphere specialists and traders.

2.3. Place an the official catalogue of the exibition on Organizer's website www.artexpo.ua.

2.4. To give the exhibition space, equipment and services to the exhibitor according to his application form.

2.5. To carry out the montage, dismantle of an exposition and work of the fair according to the stated dates:

assembling:	April 04	09:00 – 22:00
	April 05	09:00 – 22:00
arrival of exponents:	April 05	16:00 – 22:00, сleaving the booths for security routine at 22.00
	April 06	09:00 – 10:30
dismantling:	April 09	16:00 – 22:00
Working hours of the exhibition:
	April 06	11:00 – 18:00
	April 07	10:00 – 18:00
	April 08	10:00 – 18:00
	April 09	10:00 – 16:00

2.6. To provide the protection of exhibits which are placed in the premise of pavilions on working days of the exhibition from 7.00 p.m. up to 9.00 a.m. of the next day. The Organizer is not responsible for the safety of the Participant's property, its damage or theft in working hours of the exhibition, montage and dismantles.

2.8. Organize passage cleaning.

3. Duties of the Participant

3.1. To register the contractual documents for participation in the fair till March 26, 2021.

3.2. The participants is responsible for the damage of the exhibition equipment and property of an exhibition facility. Participant takes full responsibility for his own equipment connected to the socket.

3.3. The participants of the fair are obliged to follow the fire prevention rules.

3.4. In case of non-observance the terms of payment or refusal from the participation in the fair, the space reserved for the participant may be given to other Participant, and the payments are returned according to the contract.

Removing of exhibits is going according to written permission of the Organizer not earlier than 16.00 of last day of the Exhibition (April 09, 2021).

4. The official exhibition catalogue

2. Registration of participants and visitors of the exhibition. Admission.

Registration of participants and moving exhibits into the exhibition area is conducted on the 05.10.2020 at 16.00 to 22.00, and on the from 06.10.2020 at 09.00 to 10.30.

Registration is in the lobby entrance 3А of exhibition center.

Registered exponents receive badges of participants and working hours of the exhibition.
Badge of a member entitles you to free entrance to the exhibition during the whole exhibition period, as well as mounting and dismantling. Complimentary ticket entitles to one-time visit to the exhibition in working hours.

Visitors who have registered on the Organizer’s website can receive a visitor's badge at the reception desk after presenting the form in printed or electronic view. The badge gives the right to visit the exhibition during the whole time of work.

3. Arrival of the Exhibitors

Arrival of the Exhibitors at the unequipped area:
Mounting of exposition equipment: :	04.10.2020	09.00 – 22.00	only mounters of the companies accredited in the IEC with badges and the exponents with IDs who have submitted the letters in advance are allowed to enter the exhibition area.
Arrival of the Exhibitors and exhibition placing:	05.10.2020	09.00 – 16.00	only mounters and the Exhibitors are allowed to enter the exhibition area
			only those having special letters are allowed to enter the exhibition area
Arrival of the Exhibitors at the exhibition booths: :	05.10.2020	16.00 – 22.00
	06.10.2020	09.00 – 10.30

4. General Provisions

Garbage collected during the day must be put in the passage between the booths by the exhibitor till 18-00. Individual booth cleaning is performed only in the presence of exhibitors (from 9-15 to 10-00).

Using the gates of the exhibition center is allowed for loading and unloading of exhibits only. Parking near the gates the exhibition center is strictly prohibited.

Car parking is allowed in designated areas at the exhibition center.

It is strictly prohibited to clutter aisles and place items outside the booth. Penalty - 3,050.00 UAH per 1 sq.m.
On the territory of IEC banned smoking except in designated off-site locations. Penalty - 250,00 UAH.
For children under 14 the admission to the exhibition is not allowed even if accompanied by adults.
Unauthorized photo and video shooting at the exhibition is strictly prohibited.

5. The rules of moving exhibits in and out of the exhibition area

At the exhibition period moving material values out of the exhibition area is carried out only by the accompanying documents, certified by the Organizing Committee. One copy is given to the security staff of the exhibition. To obtain such a document, please contact the office of the Organizing Committee!

Administration of the exhibition and the Security reserves the right to search bags and large carry-on baggage at the exit.

Dismantling of the exposition and moving the exhibits out of the exhibition area is implemented only when providing the security staff with the document which allows leaving the exhibition, certified by the Exhibition Committee and with the obligatory presence of the participating company.

6. Security rules

Responsibility for the safety of the exhibits during the mounting, dismantling and from 9-00 to 18-00 during the exhibition period are on the Exhibitors.

During the exhibition period from 18-00 all the participants, after transmitting the booth to the security, leave the exhibition area through the entrance indicated by security staff.

From 18-00 to 9-00 the next day general security of booths is implemented. Access to the exposition at this time is prohibited.
Participants are asked to be on time in the morning ( at 9.00). It is obligatory to have a badge. In case the Exhibitor is late the act of no-show participant will be drawn. Responsibility for the booth, on which the act of no-show was drawn up, the Security, will not hold.

The Exhibitors who are interested in the individual security of their booth, please apply to Organizing Committee office.
